FAQ: How Can I Ensure the Secure Destruction of Sensitive Data?

FAQ: Secure Destruction of Sensitive Data, Paper Shredder, Shred Junk Mail, Destroy CDs / Floppy Disks / Tapes, Erase Computer Hard Drive, Secure Disposal

With Identity Theft the fastest growing crime in the country, it is becoming increasingly important to protect sensitive data such as employee records and proprietary business information. Here are a few tips to help protect both your company's data and your employees' personal information.

  • Use a paper shredder (cross-cut models) at desks, sales stations, offices, the mailroom and at home
  • Shred all junk mail and all personal / business correspondence not filed
  • Destroy CDs, floppy disks, tapes or any recordable media. Don’t just pitch them, even if the media had generated "read errors"
  • Securely erase computer hard disks before disposal.

Items that may require secure disposal include:

  • Credit card applications
  • Paper files, old statements and bills
  • Voice recordings and answering machines
  • Carbon paper
  • One-time printer ribbons
  • Removable CDs, diskettes
  • Hard Disks
  • Reports, bound documents, old directories

To help avoid losing confidential information,
follow these tips:

  • If possible, keep proprietary or confidential information off your laptop.
  • Physically secure your laptop. (Lock it in your office or a storage area.)
  • Do not store passwords on laptops
  • Back up your files and store them in a secure place rather than on the laptop.
  • Engrave your name or company name on your laptop (or PDA or cell phone.)
  • Be careful at airports. Never check the computer baggage.
  • Until you are the next to pass through the metal detector, and the passage is unobstructed, do not send your laptop through the X-ray machine.
